Executive Support Assistant

We’re looking for an Executive Support Assistant to join the Directorate Administration Support Team at Quadram Institute Bioscience (QIB), based in Norwich, UK.

The role

The main focus of this role will be in providing administrative support to include, but not limited to:

Business Development, Communications, Science Operations, Core Science, and Directorate

Duties involved in the Executive Support Assistant role include:

  • Providing administrative support to Senior Support/Research Specialists and Operational Managers.
  • Assisting in preparation and organisation of meetings, training, visits, and events.
  • Providing meeting support by:
    • Preparing agendas
    • Compiling reports and distribution of meeting papers
    • Ordering refreshments
    • Setting up audio visual equipment
    • Minute taking
  • Compiling schedules and itineraries for external visitors.
  • Arranging extensive travel and conference attendance.
  • Processing orders via the purchasing system.
  • Updating and maintaining policy documents.
  • Working closely with colleagues to provide assistance/cover during absence.

The ideal candidate

The ideal candidate will hold at least 4 GCSE grades A*- C (4-9) including English and an administrative qualification such as NVQ level 3 or equivalent. Previous experience working in an administrative support role, including experience organising internal and external meetings is essential.

The post holder will also have experience of minute taking and be proficient in Microsoft Office tools including Word, Outlook and SharePoint. Experience in organising events and/or a project support role would be beneficial but is not essential.

Applicants will need to be detail orientated with the ability to follow instructions and policies / procedures. They will need to have the ability to work independently, using initiative and apply problem solving skills, and have excellent time management and organisational skills.

Additional information

Salary on appointment will be within the range £27,750 to £30,500 per annum depending on qualifications and experience. This role is full time on an indefinite contract. Candidates seeking part time hours will be considered.  This role is office based at Quadram Bioscience Institute.
